Creating an Audit Template in monitorQA is basically creating an Audit that will be used by an Auditor or Inspector to perform. You can create as many Audit Templates as you need and organize each individual Audit Template in sections and subsections.
You will just need to start by logging into the web app and finding the ‘Library’ section on the left side of the page. From there, you will select ‘Templates’.
From the “Templates” page, you will have 2 sections called ‘Audit’ and ‘Checklist’. Audits are typically items you are auditing while Checklists are typically self-audits. Within monitorQA, there is no difference in functionality so you will have a choice to create a Template in ‘Audit’ or ‘Checklist’ based on which label you prefer is appropriate for your created template.
To begin creating an audit template, simply click on the “Create Template” button at the top right of the page and select either Audit or Checklist.
The first step in the audit template creation process is the “Setup”. This is where you name your template in the “Template Name” field. You will then add your scoring method in the “Score” field. The Scoring method can either be our Default method or a method that you created in the Scoring section within your account.
You can also add the “History Trends” which you can find more about here. You will enter tags, require a signature for Auditor and/or Auditee, and put any disclaimers you need to display.
The next step in your audit template creation process is “Build”. This is where you will add your Sections, Subsections (if applicable), and items. You can add more sections by selecting “+ Sections” as well as delete sections you found you do not need by hovering over a section and clicking the red X to the right.
Once you click on a section, you will be first presented with 2 items which you will be able to rename once you click on “Item”.
You can also add more items or even a subsection that will allow you to add more items underneath.
When you click on a particular item, you will be able to add 8 different response types.
The Passed/Failed and Yes/No items will allow you to add a condition logic which will provide a follow-up item based on the response of the item. You can add as many follow-up items to a response in the conditional logic. You may also add a requirement for a corrective action and/or a photo.
You will also notice points next to a response along with a Failed response red checkbox. This will weigh into the overall score of your audit.
Once all the items and sections are completed, you can click the “Back” button to bring you back to your “Sections” and then proceed to “Preview”
After you’ve previewed your audit template, you can now customize how you’d like your audit reports to be for that template. Click ‘Report’ and then toggle on or off the options you’d like to see in your report.
To finish the template, you can hit the blue “SAVE” button, and then ‘Publish Template’. This will make your template live and your auditors who are assigned to it can start performing it. You can also “Save changes” which means it's saved in the system, but not yet viewable to your auditors yet. You can also leave your account and come back to make adjustments at any time by picking up where you left off.
