Alongside corrective actions, monitorQA introduces a new functionality called 'Issues.' This feature empowers users to report incidents swiftly and assign tasks to others for resolution, all without the necessity of creating a full audit. This standalone capability streamlines the process of generating incident reports upon detection, leading to faster resolutions.
To utilize the Issues feature, users will need to undergo a brief setup process, starting with the creation of 'Issue Types'.
Click on 'Create Issue Type'. You will then be prompted to fill out fields to define your Issue Type for future use:
Name: This identifies the issue for both the issuer and assignee.
Auto Assign: This optional field allows for automatic assignment of a specific 'Job Title' to the issue during audit creation.
Description: Provides further details about the issue.
Questions: You can include one or more questions to be answered by the issuer.
Issue Type Fields: This field allows you to add additional information for the issue once it's created. You have the option to choose from Text Area (a large text box), Text Field (a smaller text line), and contact information. You may select more than one option.
As depicted in the screenshot, you'll have the choice to mandate information from the issuer during issue creation in the system.
Contact Information Fields: This optional feature enables you to include specific contact details for the issuer to provide.
Once the Issue Type is created, you can readily utilize this issue.
Another notable enhancement to 'Issues' is the integration of QR Codes. Issuers can now generate an issue by scanning a QR Code linked to the corresponding Issue Type.
To generate the QR code, navigate to Issues and select QR codes. Then, simply click on 'Create QR Code' at the top right corner.
On the right side of the screen, you'll see various options. Choose the 'Issue Type' and select a specific audit object (locations), or apply it to all locations. Then, click on 'Create'. Once completed, a new QR Code will be generated.
You can print out this QR Code for physical scanning or keep it as a picture file to scan from a device. Once scanned, it will open the Issue creation on a mobile browser.
From there, you'll select the issue type, answer any questions provided, and then click 'Create'. You'll receive confirmation that the issue has been successfully created, along with a reference number
To manage and create Issues using the browser version of your account, simply navigate to the "Issues" section and select the "Issues" subsection.
From here you will see a list of Pending Issues and Archived Issues.
At the top right corner, you can create an issue just as you can with the QR code option.
Simply input the name of the issue, select the issue type, and choose the audit object (location).
Lastly, you will answer any question or questions for the Issue type, then click create.
Now you can manage your issue. If it still needs to be assigned, you can do so and add any additional information. Everything will be logged for this issue.
You may also link this issue to an Audit or a Corrective Action.
Once the issue is handled, the person assigned or the issuer can close the issue. They will be prompted to select a reason and optionally add a comment.
Once completed, you can find all of the finished issues in the "Archived" section, where you can review them and reopen them if needed.
